Capture project bucket data
The license package Strategic Portfolio Management is required to work with project buckets. The use case Investment Optimization must be activated.
Project buckets provide structure, transparency, and control over how project resources, costs, and value are managed. By grouping project investment and spending into clearly defined buckets, organizations can make better decisions and maximize returns.
Go to Investment Architecture > Project Buckets:
- Add a project bucket at the top-level of the hierarchy. Click the root node of the explorer and click the New button. The edit panel opens on the right where you can define basic data. The Name attribute is mandatory.
- Create a new project bucket as a child (subordinate) of this project bucket. Click the parent project bucket in the explorer, go to Overview > Subordinate Project Buckets view. Click New > Create New Project Bucket.
- Make an existing project bucket a child (subordinate) of this project bucket. Click the parent project bucket in the explorer, go to Overview > Subordinate Project Buckets view. Click New > Move Existing Project Bucket Here. A selector opens where you can chose a project bucket and move it to this project bucket. The project group you chose is now a child of the project group you are working with.

Edit a project bucket. Edit the project bucket directly in the data table. Or select the checkbox
for the project bucket you want to edit and click the Edit
button to open the edit panel. -
Navigate to the project bucket's content area.Click the Navigate
button next to a project to open its content area. Specify the project bucket's basic data as well as the relationships that the project bucket has to other assets in the repository.
Try to capture as much information as possible about the project because complete data considerably improves the results of business questions and other analytics.
Once a project bucket is in the repository, you can define more details about the project buckets in the Project Buckets data workbench . Or you can select an individual project bucket and navigate to its content area and specify and analyze the project in detail. All mandatory fields must be defined to create the project bucket and save it.
Per default, the data workbench displays only a set of basic attributes. You can add more columns to capture other attributes directly in the data workbench via the Structure column or you can navigate to an project bucket's content area and define it in more detail there. - Name: (Mandatory) Enter a name for the project bucket. You can add an abbreviation (3-4 letters) of the name in the Short Name field to use in diagrams and other visualizations
- Description: If necessary, enter a meaningful description that will clarify the purpose of the project bucket.

You can assign projects to a project bucket in order to analyze your projects from various perspectives. The view shows the percentage of each project's costs that are allocated to the project bucket.
Click the navigate
button of the project bucket to open the content area. Go to Overview > Projects.
Project buckets can also be assigned to a project via the project's content area > Project Buckets view, where the project's costs are allocated to project buckets.

Review the prioritization of the projects in the project bucket based on their architectural complexity, business value, and project risk indicators to understand which are good candidates for investment. You can adjust the weighting of the indicators to understand in-depth how various factors change the prioritization. Change the ranking as need by manually adjusting it. The projects with the highest ranking indicate the projects that are potential candidates for investment.
Click the navigate
button of the project bucket to open the content area. Go to Prioritization > Project Ranking. The view shows the projects listed according to their ranking from highest rank to lowest rank.
- The Architectural Complexity, Business Value, and Project Risk columns displays the values that have been specified for the project in the project's Evaluation view . The indicators cannot be edited in the Project Ranking view.
- The Calculated Ranking column displays the sequence of the ranking based on the weighting of evaluation types based on the prioritization scheme selected in the Prioritization Scheme filter. The weighting of the Architectural Complexity, Business Value, and Project Risk indicators can be changed, which may result in a different ranking.
- The Manual Ranking column displays the sequence based on the ranking that has been explicitly defined by a user. The manual ranking values will have precedence over the calculated ranking based on the prioritization scheme.
Prioritize the projects in the selected bucket by either calculating them based on your weighting of the Architectural Complexity, Business Value, and Project Risk indicators, or manually rank the projects to determine their priority. You can also first run the calculated ranking and then adjust the order by manually ranking on or more of the projects.
Calculate the ranking of projects based on their indicators. Click the local filter button and select a prioritization scheme in the Prioritization Scheme filter. Adjust the weighting of the indicators by dragging the slide rule in the appropriate direction. The sum of the values must equal 100. You can lock any one of the weights by clicking the lock icon. The lock is red when activated and the weight will not automatically adjust when another weight is modified. Click Update to calculate the ranking of the projects. The projects are listed based on the sequence in the Calculated Ranking column. You can override the calculated ranking by specifying a manual ranking of the projects.
Manually rank the projects. Click the
edit button and enter an integer in the Manual Ranking field for one or more of the projects. The manual ranking will override the calculated ranking.
Review the costs of projects assigned to a project bucket and track cumulative costs by year to identify when the project bucket reaches its spending limit.
Click the navigate
button of the project bucket to open the content area. Go to Prioritization > Budget Allocation. The view shows the projects listed according to their ranking from highest rank to lowest specified in the Project Ranking page. The project bucket's budget will first be consumed by the accumulated costs of the projects with the highest priority.
The Cost column displays the project costs defined in each project's business case . If a project is assigned to multiple project buckets, then only the percentage of the project's costs specified for this project bucket will be calculated and displayed in this view.
The Accumulated Costs column displays the running sum of the costs of the projects as well as the cumulative costs for the individual cost types. The costs are added in the order that the projects are listed based on their ranking. Costs that exceed the defined spend limit for the year will be highlighted in the Accumulated Costs row.
Set the start and end years of the view. Click the
local button and change the First Year and Last Year fields. You can also set the Currency field.
Define the yearly spend limits for the project bucket. Click Edit > Edit Spend Limits and define the limit of money to be spent for the project bucket per year. If the accumulated costs of the projects exceeds the project bucket's defined spend limit, the projects exceeding the limit will be highlighted in the Budget Allocation view.
