Add users
You can add users to Alfabet by adding them manually as described below. Users can also be added via the data capture functionalities.
Go to Account Management > User Administration. Click the
New > Create New User and fill in the fields:
- First Name: Enter the user’s first name. You may enter up to 128 characters.
- Name: Enter the user’s family name. You may enter up to 128 characters.
- User Name: Enter a name that the user must enter when logging in to Alfabet . Because the user name required for login is not case-sensitive, the user name will be saved to the database in upper-case letters.
- Phone: Enter a telephone number where this user can be reached.
- Enforce Password Change: If you select this checkbox, the user must change their password during the first login. The checkmark will automatically be removed from the Enforce Password Change checkbox after the user has changed the password. This is only relevant for users that are managed in Alfabet and login to Alfabet via standard login. This not relevant for users whose passwords are managed by single sign-on or Windows sign-on.
- Type Select NamedUser . Every user of the type NamedUser must be assigned at least one user profile.
- Is Alfabet-Managed User: Set the checkbox if the user should log in with use name and password. Clear the checkbox if user login should be managed by a single sign-on mechanism.
- User Profiles: Assign at least one user profile to the user. Depending on the user's responsibilities, you can assign more than one user profile. The user profile will determine the functionalities and views that a user can see as well as whether they have read-only vs. read/write permissions to the objects they see. - User Groups: Select the user groups that the user shall belong. A user assigned to a user group has read/write permissions to the objects that are associated with the user group. Click to learn more about access permissions via user group authorization.

General User Permissions:
- Can Execute Batch Jobs: Select the checkbox if the user may execute batch utilities designed to access the Alfabet database in stand-alone or remote mode. Access to batch utilities should only be allowed for administrators.
- Exclude from Anonymization: Select the checkbox if the user should be excluded from any data anonymization actions.
- Password Expiration Date: Enter an expiration date for the password. The user’s password will expire on this date and the user will need to define a new password to access Alfabet .
- Email: Enter the user's email address.
- Email Notification Language: Select the language to be used for the text messages in automatically-generated email notifications. The default language is English.
If you company has a license to customize Alfabet via the configuration tool Alfabet Expand, you should grant at least one user access to Alfabet Expand. Access to Alfabet Expand should only be allowed for solution designers and administrators. You can grant a user either complete access or access to a subset of configuration options in Alfabet Expand.
The Type field in the Basic Data tab of the user editor must be set to NamedUser for the user which shall have access to Alfabet Expand.
In the user editor, go to the Alfabet Expand Permissions tab and grant access with the following settings:
- Has Access to Alfabet Expand: Select the checkbox.

Alfabet Expand Access Options: Select the checkboxes of the expand functionality the user should be allowed to access:
- ADIF Designer: The user can create ADIF schemes. For the definition of access permissions for ADIF schemes, the user should also have access to the Class Designer, the Presentation Model Designer, and the Report Designer.
- Administrator: The user can create user pofiles and the left navigation for the user profiles.
- Business Function Designer: The user can create custom explorers.
- Class Designer: The user can create and alter object classes in the meta-model, create enumerations, property groups, generic operations, calculated properties, and database views, and modify the culture settings.
- Data Workbench Designer: The user can create data workbenches and configured report groups for data workbenches. If the user shall add reports to configured report groups for data workbenches, the user must also have access to the Report Designer.
- Diagram Model/Shape Designer: The user can define custom diagrams and custom diagram items.
- Icon Designer: The user can import and export icons and create icon galleries for use in indicator configuration.
- Managers Menu: The user can manage user settings and archive and restore databases.
- Presentation Model Designer: The user can configure user interface content for user profiles. Complete configuration of the user interface for a user profile might also include tasks which require separate access permissions, like, for example, the Administrator permission to create the left navigation of the user profile, or the Icon Designer to provide custom icons.
- Publication Designer: The user can create publication templates to publish object data to Microsoft Word®. To privde publication capabilities to the user community, the user should also have access to the Report Designer.
- Report Designer: The user can create configured reports.
- Reusable Elements: The user can create custom themes, has access to event management, can create global filter parameters, and configure APIs to external RESTful services. The user should also have access to the Icon Designer if the changes for custom themes should include customization of icons. The user should also have access to the Presentation Model Designer to configure APIs to external RESTful services.
- Survey Designer: The user can create surveys.
- System Administrator: This option is currently not in use.
- Utilities: The user can manage translations and meta-model update processes.
- Workflow Designer: The user can create workflows.
The Alfabet RESTful API requires a sophisticated access permission configuration including configuration of access for an Alfabet user. Refer to the Alfabet RESTful service documentation for more information. This documentation is currently only available in the documentation of Alfabet 10.15, but is still valid for Alfabet 11, with the exception of the server setup, which is described for Alfabet 11 releases under Set up the Alfabet RESTful services.
